Purpose: #
To establish a standardised procedure for staff members to compile and maintain their professional profiles, reflecting their performance, development, and contributions to the camp. These profiles serve as a foundation for personal growth, performance reviews, and career advancement within the camp.
Scope: #
This policy applies to all activity leaders and camp management staff.
Profile Components: #
- Personal Information: Full name, position, tier level, and contact information.
- Qualifications & Certifications: List of relevant qualifications, certifications, and any specialized training completed, with dates.
- Performance Evaluations: Summaries of performance evaluations, highlighting achievements, feedback received, and areas identified for improvement.
- Professional Development: Detailed records of professional development activities, including internal training sessions, workshops attended, and any self-directed learning initiatives.
- Goals and Achievements: Documentation of SMART goals set for the evaluation period, progress made, and any recognitions or awards received.
- 360-Degree Feedback Summary: A synthesized summary of feedback received from peers, supervisors, and, where applicable, campers.
- Personal Reflection: A self-assessment section reflecting on personal growth, challenges overcome, and areas for future development.
Compilation Guidelines: #
- Frequency: Staff profiles should be updated semi-annually, with interim updates following significant achievements or completion of major projects or training.
- Format & Structure: Profiles should be compiled using the camp-provided template to ensure consistency. Digital formats are preferred for ease of updating and reviewing.
- Content Accuracy: Staff members are responsible for ensuring the accuracy and completeness of their profiles. Any discrepancies or falsifications may result in disciplinary action.
- Confidentiality: While personal profiles are a tool for professional growth, the information within is confidential and should be treated with discretion.
Approval Process: #
- Initial Review: Staff members should first submit their profiles to their immediate supervisor for review. This allows for any necessary clarifications or additions.
- Senior Manager Sign-off: Upon supervisor approval, the profile is then submitted to the most senior manager on site for final review and sign-off. This step ensures alignment with camp-wide standards and expectations.
- Regional Manager Approval: Finally, the profile, along with comments from the senior manager, is sent to the Regional Manager for oversight and endorsement. This step provides an additional layer of validation and supports uniformity across different camp locations.
Revision and Update: #
- Staff are encouraged to regularly review and update their profiles in preparation for performance discussions, applying for promotions, or when taking on new responsibilities.
- Significant updates should be discussed with and approved by the immediate supervisor before submission for the official sign-off process.
Compliance: #
Adherence to this policy is mandatory for all staff. Failure to maintain an up-to-date profile may impact performance evaluations, eligibility for promotions, and professional development opportunities.
This policy framework ensures that staff profiles are comprehensive, up-to-date, and reflective of each individual’s contributions and development within the camp. It fosters a culture of continuous improvement and accountability, supporting both personal growth and the camp’s overall success.
