Involving Parents and Carers Policy

Adventure Camps recognises the importance of working in partnership with parents and carers to ensure that every child is happy, healthy and safe whilst in our care.

We are committed to keeping parents and carers fully informed about policies, events and activities. We share information openly, answer questions promptly, address concerns professionally and actively encourage parental participation in the life of the Camp.

How We Keep Parents Informed #

  • Inviting parents to visit Adventure Camps before their child starts.
  • Providing a Camp Handbook outlining how the Camp operates, including contact details.
  • Sharing key policies including the Behaviour Management Policy and, for EYFS children, information about the Key Person role.
  • Notifying parents of their child’s Key Person when they start at Camp.
  • Making all policies available for parents to access.
  • Producing regular newsletters to provide updates on news, events, staffing and operational changes.
  • Providing translations of key documents for non-English speaking families where possible.
  • Using a communication book or agreed communication method (particularly for EYFS children or where additional needs are identified).

How We Welcome and Encourage Parental Input #

  • Collecting information during registration (including Medical Forms and, for EYFS children, All About Me documentation) to support each child’s transition.
  • Involving parents in settling children in, in line with the Child Induction Policy.
  • Consulting with parents to establish care requirements for children with additional needs.
  • Greeting parents at collection time and sharing relevant daily information (e.g., activities, achievements, incidents).
  • Remaining contactable outside of Camp hours via telephone and email.
  • Conducting annual satisfaction surveys to gather feedback from parents and children.
  • Encouraging parents to volunteer, share specialist skills or support outings and events where appropriate.
  • Ensuring staff are clearly identifiable through name badges or uniform.
  • Obtaining parental permission for outings, photographs, administration of sun cream and similar activities.
  • Arranging meetings with parents outside of Camp hours where necessary.
  • Responding promptly and appropriately to concerns or complaints in line with the Complaints Policy.
